Orders and Acceptance

  • Agreement: By placing an order, you agree to our Terms and Conditions. Orders placed without acceptance will be canceled.

  • Finality: Once your order is confirmed and in our shipping system, it is irrevocable and cannot be canceled by the customer.

  • Acceptance: Our sending an order confirmation does not guarantee acceptance. We reserve the right to accept or reject any order for any reason.

  • Buyer Responsibility: The buyer is ultimately responsible for ensuring the accuracy of the order.

  • Product Information: Product availability and pricing are subject to change. Refer to the manufacturer’s product descriptions on our website for the most accurate details.

  • Multiple Items: Items in a single order may ship separately at no extra charge within the USA.


 

Payment, Pricing, and Security

  • Payment Methods: We accept Visa, MasterCard, American Express, Discover, and PayPal. All payments are securely processed through PayPal (a PayPal account is not required for US customers, but is mandatory for international orders).

  • Charge Timing: Your credit card is charged when the order is placed.

  • Sales Tax: Tax is only applicable for purchases made within Indiana, USA.

  • Credit Card Security: We do not save, see, or ask for your credit card information. We only discuss hot tub part queries; we will not ask personal or credit card questions in conversation.

  • Pricing Errors: We reserve the right to refuse or cancel any order placed at an incorrect price due to typographical errors.


 

Shipping Requirements and Policy

  • Required Information: You must provide an accurate address and phone number that is identical to the information your credit card bank has on file.

  • Shipping Address: We only ship to the verified address of the credit card holder. Orders to divergent addresses will be declined/canceled.

  • Incorrect Address: If an order ships to the wrong address due to customer error, it is considered delivered. Any resulting delay or loss is the customer's responsibility. Returned orders due to incorrect/insufficient addresses will require payment for reshipping or will be processed as a return (with fees).

  • Tracking: A tracking number is provided when the order is ready for shipment. Check your spam folder before calling.

  • Shipping Time: Orders placed before 1:00 PM EST typically ship the same day, if the product is in stock. We do not ship on weekends or holidays. We are not responsible for carrier service transit time delays.

  • International Shipping: Shipments to Canada and other global locations are final and non-returnable. The customer is responsible for all customs, taxes, and fees.

  • Export Forwarding: If you use a USA export service, the order is considered DELIVERED upon arrival at the provider's location.


 

Special and Out-of-Stock Orders

  • Out-of-Stock: We will notify you of delays for out-of-stock items. You may cancel your order before it is confirmed, unless it is a special order.

  • Part Substitution: We may substitute equivalent but recommended replacement (such as wet ends, motors, switches, etc.) to fulfill an order if out of stock, discontinued, or unable to ship within a reasonable timeframe.

  • Special Orders (NRO): These are items not in regular inventory that require external procurement. Special orders take a lead time of 2–10 business days before shipping and are non-returnable and cannot be canceled once placed.


 

Returns and Exchanges

  • Eligibility: Merchandise must be in resalable condition, uninstalled, undamaged, and like-new.

  • RMA Required: All returns require a Return Merchandise Authorization (RMA). Email ProSpaParts@gmail.com to get an RMA and instructions. Returns sent without an RMA will be rejected.

  • Returns shipped to ANY other address than the one provided or authorized will not be accepted and returned at the customer's expense.
  • Timing: Returns must be initiated within 15 days of receipt and received within 30 days of RMA approval. Returns after 30 days are not accepted.

  • Fees (USA): Normal Returns incur a restocking fee: Total - Shipping - 15% = Refund. Circuit board, Equipment pack returns have a 50% restocking fee (and are normally non-returnable).

  • Canceled Orders: If we can stop an order before shipping, a 5% sale reversal charge applies. Special orders, NRO 20%. Refund may take 5 or more days to ensure the order was not shipped, even after authorized cancellation.

  • International: All international sales are final and non-returnable.

  • Exchanges: Accepted for manufacturing defects or shipping errors within 30 days; treated and charged as returns.

  • Refunds: Issued to the original buyer, initiated 5-15 business days after inspection of the returned item.


 

Part Identification and Liability

  • Part Description: We sell non-proprietary, functional equivalent hot tub components.

    • Parts may be generic replacements sourced from the Original Equipment Manufacturer (OEM) or independently engineered to meet or exceed original part specifications. 

  • Affiliation Disclaimer: This listing is a search aid only and is not a guarantee of performance, compatibility, or results. It is not an assertion of any affiliation, endorsement, or authorized association with the original equipment or hot tub manufacturer, its corporate entities, or its proprietary product names.

  • Third-Party Brand Relationship: Authorized Reseller Status: We are an Authorized Reseller of genuine replacement parts for leading industry brands, including Balboa, Waterway, Gecko, Applied Computer Controls, and Hydrquip, in agreement with major hot tub wholesale suppliers.

  • Part ID Assistance: We offer part identification assistance as a courtesy, but the buyer bears the sole responsibility for determining the correct parts, ensuring compatibility, and all installation costs. Do not send physical part samples; they will not be returned.

  • Warranty: Limited to the original manufacturer's warranty for the initial owner. Our liability is confined to the replacement of defective parts.

  • Limitation of Liability: Our liability for any sold component is strictly limited to the replacement or refund of the purchase price. We are not liable for any indirect, incidental, or consequential damages.

  • Call Recording: We use AI Transcription of calls for better service. By continuing the conversation after the notification, you agree to this.
